THE BIG 3 EVENTS
You've probably already read about What We Do so you know that we organise our gifting events for each of the 3 big family gifting events in the UK which fall neatly into each of the 3 school terms.
- Christmas (Autumn Term)
- Mothers’ Day (Spring Term)
- Fathers’ Day (Summer Term)
For each of these events we source a selection of great value gifts which children will love to select, and parents / loved-ones will love to receive ‘with love from’ their child! We organise and curate these gifts into an event pack to suit your event. We organise all of the logistics, the packaging, the money… all that your PTA need do is to help the children select their gift in a school sponsored event.
STEP-BY-STEP
The events work like this:
- Your PTA agree to organise a 'With Love From...' gifting event. You agree a date (normally in the week running up to the special day), and you nominate a team, including an ‘Event Leader’.
- Your Event Leader Registers Your Event, including information on your Venue, Event Type and Contact Details.
- We will then create a personalised webpage for your event where parents can make payment for a 'gifting token' for their child to join in the gifting event. We will provide this page’s link / QR code back to you to use in your communications.
- You will then notify parents and the school community of the event via your normal communications channels. You will notify parents of the Event date, Gift Token deadline and share the Event webpage. You may also choose to share a link to our What We Do page to give parents a little more insight into what the event is and why they might want to get involved.
- We will deliver an ample selection of gifts to your school up to 1 week before the event date, along with giftbags, gift labels and other useful items.
- You or your nominated Event Leader will receive the gifts and, along with other PTA volunteers will set up a ‘gifting room’ in the school hall, library or suitable location in time for the agreed event time and date.
- On the day before the event, or after the event webpage is closed, we will send a ‘Participant List’ of all children (including their Class Name and how many gifts they are selecting) through to the Event Leader. This list should be shared with the PTA and school to help coordinate the children who are involved with the event and to tick off when the child has received their gifts.
- When participating children arrive in the ‘gifting room’, they will select their gift and hand it to a PTA volunteer who will tick the child off the list and help the child to pack their gift into a special 'With Love From…' gifting bag. Children can then choose to write a message on the gifting label if they choose before taking their gift home to present to their loved ones on the special day.
- After the event, all surplus gifts and packaging are placed back into the boxes. The boxes are sealed and moved to the schools reception or pick up point. Your Event Leader provides us with a box count and we will arrange to collect these from the school during the following week.
- When we receive the gifts back, we will conduct an inventory of the returned gifts. We will then make a bank transfer back to your PTA with the value of your raised funds, minus the value of any missing gifts.
That's it! We do the heavy lifting, leaving you more time to do the things that you enjoy and which matter most.
You can design the event however you like! For Christmas events, your PTA volunteers might decide to dress as elves and tell the children that the presents have come from the North Pole and that Santa needs their help to get some of the adults gifts under the tree in time for Christmas eve!
